AI Assistant for
Barbers

You're mid-cut or with a client. A call rings. By the time you're free, the wait time is shared and a slot is offered – or they've already called another shop.

Why barbers lose clients while they're busy
Phone rings mid-cut

You're cutting, trimming a beard, or with a walk-in. The phone rings. You can't answer. By the time you're free, they've gone to the shop down the street.

"How long is the wait?" – no answer

Busy Saturday. They call to check the queue. No one picks up. They don't bother coming – or walk in, see a full chair, and leave. Either way, you lost them.

Booked a slot – then no-show

They agreed on a time. No reminder sent. They forgot. You block the chair, they don't show. Empty slot, no time to fill it.

Same intake questions every booking

Haircut, beard, fade, preferred barber, time – collected manually each time. Five calls a day, five times the same conversation. That's 20 minutes you didn't cut anyone.

What a typical week looks like

Busy Saturday. Three missed calls. By the time you finish the cut, the assistant has replied to all three – shared current wait time, offered a slot, or taken a walk-in note. Two are on their way. One booked a Tuesday slot.

A regular booked a Friday slot last week. The assistant sends a reminder Thursday. They confirm. You didn't have to chase. A first-timer asked about beard trim and fade – the assistant explained the services and sent available slots. He booked Saturday.

Whether you take walk-ins, appointments, or both, every missed call gets a WhatsApp reply – wait time, services, slots – without you stopping the cut. And anyone who doesn't book gets a follow-up nudge before they try another shop.

How it works for your barbershop
1
Missed call or new WhatsApp message

The assistant replies within seconds – while you're mid-cut or with a client. Caller gets a response, not silence.

2
Share wait time or collect booking

Walk-in? Current wait time goes out. Appointment? Service, style preference, and slot collected – haircut, beard, fade, hot towel.

3
Slot confirmed, reminder sent

Client picks a slot. Confirmation goes out. Reminder fires before the appointment – fewer no-shows, fewer empty chairs.

4
Full intake handed to you

Contact, service, style preference, and slot – waiting when you're free. Unusual requests flagged for manual review.

Keep clients showing up – and coming back

Booked is not enough. The client that sticks is one who shows up, gets a great cut, and books again.

Pre-appointment reminders

Nudge the day before – no manual chase, fewer no-shows.

Returning client flow

Known contacts skip full intake – straight to scheduling, no duplicate questions.

Rebook nudge

Client came in 4 weeks ago, no next slot booked. A short nudge goes out – before they let it slide another month.

Follow-up for non-bookers

Inquiry came in, no slot picked. A nudge goes out – while they're still deciding, not a week later.

Metrics that matter for a barbershop

Track whether calls are answered, slots are booked, and clients show up.

Time to first reply

How fast a new call or message gets a response. Clients expect a quick reply – silence means they try another shop.

Intake completeness

Share of bookings arriving with service, style preference, and slot attached. Fewer surprises when they sit in the chair.

Appointment show rate

Share of booked slots where the client showed up. Track whether reminders bring this up.

Calls answered

Share of missed calls that got a WhatsApp response within minutes. Most callers are potential clients – unanswered means they try elsewhere.

How credits work

Every plan gives you one monthly pool of credits, and each bot reply draws from that same pool: an AI text conversation costs 10 credits, a button bot conversation 1 credit, a voice conversation 100 credits, and 1,000 embeddings 1 credit. The numbers in each plan are alternatives, not extras — 1,000 credits is 100 AI conversations or 1,000 button conversations or 10 voice conversations, in any combination. When the pool runs out, extra credits are billed at your plan's credit price.

Frequently asked questions

About walk-in wait times, bookings, and style preferences.

Can it share wait times for walk-ins?

Yes. You define how wait time is calculated – e.g. based on current queue and average cut time. The assistant shares it when someone asks, and can offer a slot instead if the wait is long.

What services can it handle – haircut, beard, fade?

You define your services – haircut, beard trim, fade, hot towel shave, etc. The assistant collects the right intake and offers available slots based on your calendar.

How does the appointment reminder work?

When a slot is booked, and a set time before the appointment, the assistant sends a short reminder. You set the timing and wording – e.g. day before, or morning of.

Can it handle both walk-ins and appointments?

Yes. For walk-ins, it shares wait time. For appointments, it collects service and style preference, then offers slots. You define how your shop runs – walk-in only, appointment only, or both.

What if the client stops replying mid-booking?

The assistant sends a follow-up, then closes the flow if there's still no reply. The slot stays open. You can see the incomplete intake and decide whether to reach out manually.
